Speaker Instructions for the 2005 Georgia Water Resources Conference

INSTRUCTIONS FOR SPEAKERS IN POSTER SESSION

  1. Jimmy Bramblett (email: jimmy.bramblett@ga.usda.gov ) is the coordinator for the poster and exhibit session. Please contact him to request instructions for the poster and exhibit displays, and to reserve your poster board size (either 4x8 feet or 4x4 feet). He will be available, with student helpers, to assist during the poster and exhibit set up times and take down time at the conference.
  2. Poster set-up time:  Sunday, April 24, between 5:00-9:00pm and Monday, April 25, between 7:30-9:30am in the atrium at the Georgia Center.  Look for label with your name pinned to your assigned poster board (4 x 8 feet or 4 x 4 feet, with corkboard backing).  
  3. The Poster Session is scheduled for 3:00-3:40 pm on Monday, April 25, in the atrium at the Georgia Center. Speakers in the poster session should be present during this time to discuss their papers and answer questions.
  4. Poster take-down time: Tuesday, April 26, between 5:00 - 7:00 pm.

INSTRUCTIONS FOR SPEAKERS IN ORAL SESSIONS

  1. Please fill out the Speaker Introduction Form and send it back by April 20, 2005 (email to GWRC2005@uga.edu). Be sure to note what type of A/V equipment you will use (PowerPoint presentation with file saved on compact disk/CD is standard).
  2. Check in at the conference registration desk when you arrive (at least one hour before the start of your session). Session Moderators will assume that a Speaker is not present if the Speaker has not picked up his registration packet and name tag from the conference registration desk.
  3. Please arrive in your assigned session room at least ten minutes before the start of your session, and identify yourself to the session Moderator and the session A/V Assistant (graduate student with Assistant ribbon on name tag and probably tending to the A/V equipment ). Familiarize yourself with the room arrangement and equipment. A slide projector and overhead projector are set up in each session room.
  4. If you have a PowerPoint presentation saved on a CD, you may show up at your assigned session room during the break immediately preceding your session, and the A/V Assistant will load your presentation for you on our laptop computer.  If your presentation uses any other type of media, please visit the audio-visual assistance room (Room YZ) at least two hours before your session so that your presentation can be transferred to CD. If your presentation uses software that must be run on your own laptop computer (ie., not PowerPoint), please let us know one week in advance.
  5. A Speaker Ready Room with projection equipment is available, in case you want to make a final check of your slides or transparencies or PowerPoint program. It is located in Room D on the second floor of the Georgia Center. Hours are 8:00 a.m. to 5:00 p.m. on Monday, Tuesday and Wednesday, April 25 - 27, 2005. You will find more privacy and fewer delays if you use the Ready Room during "off" hours, which occur during the actual sessions. A sample lectern, similar to those in the session rooms, is available for your inspection in the Ready Room; it is equipped with a microphone, a remote control unit from a 35mm slide projector, and an electric pointer. An overhead projector, slide projector, and LCD projector with computer are in Room D as well as in the room for each session.
  6. Limit the presentation time for your paper to 15 minutes. The total time for the your presentation — including introduction of speaker, presentation (15 minutes), and questions is 18 to 20 minutes, depending upon the session time and number of speakers in the session.
